Seminars to help simplify accounts payable, travel transactions

A number of free seminars sponsored by Accounts Payable and Travel Audit will be presented this week and next. The seminars will provide staff members with the latest information on procedures and processing in those two areas.

All seminars will be held in the Hussey Room, Michigan League.

Advance registration is required due to limited seating. To register, call 747-0712 and leave your name, the number of the seminars(s) you wish to attend and your phone number. If you have questions, call a service representative at 764-8212.

The following seminars are scheduled:

Failed Invoices and Invoice Payment Notices: A revised invoice payment notice will be presented and participants will learn how to get a failed invoice paid. #1 Monday (Sept. 13), 1–2 p.m.;

#2 Friday (Sept. 17), 2:30–3:30 p.m.;

#3 Sept. 21, 1–2 p.m.;

#4 Sept. 21, 3:45–4:45 p.m.

How to Read IMS Screens: You will learn how to obtain information via IMS on purchase orders. POINV and detail POINV are the same as those used by our customer service representatives.

#5 Monday (Sept. 13), 9–10 a.m.;

#6 Friday (Sept. 17), 1–2 p.m.;

#7 Friday (Sept. 17), 3:45–4:45 p.m.;

#8, Sept. 21, 2:30–3:30 p.m.

General Information Sessions: Topics include organization structure, imprest cash funds, check-writing schedule, non-PO payments (freight, travel, SRV), foreign invoices and credit memos (refund checks).

At these sessions, staff want to find out what you think would improve the purchasing and accounts payable process. A quality improvement team currently is looking at the entire procurement process and want to know what you think could be done.

Voice Response Unit: Learn to use the Voice Response Unit to retrieve information on the status of an invoice.

#13 Friday (Sept. 17), 9–9:45 a.m.;

#14 Sept. 21, 11:15 a.m.–noon.
